Open shifts and swaps in chat

Publish a week and the unfilled shifts land in the site channel as cards staff can claim, and a shift somebody cannot work can be given away from the thread.

How open shifts reach the team

When you publish a week with unfilled shifts, the site channel gets a card listing them, busiest first. Staff tap a shift to claim it. The card updates itself as shifts are taken, and says so when the week is covered.

You can also post the card yourself: in the rota, use Post open shifts to chat, or ask Paddy to do it.

Who decides

Each site chooses in Settings > Locations:

  • A manager approves (the default): claims arrive under Rota > Requests > Swaps and claims with any warnings attached, and you pick. You can also approve them in the app.

  • First come, first served: the first eligible person gets it. Somebody who is not trained for the role, is on approved leave, already has a clashing shift, or has marked themselves unavailable is refused with a reason.

Giving a shift away

Somebody who cannot work a shift they hold can offer it from the thread: long-press the shift card and choose Give away. It posts a swap card the rest of the team can pick up, and the same eligibility checks apply to whoever takes it. Once somebody has taken it, the swap waits for a manager on the same Swaps and claims tab, which also lists shifts offered that nobody has taken yet.

If the card looks out of date

Cards are redrawn from the rota, so a shift filled in the admin panel disappears from the card within moments. If somebody taps a shift that has just gone, they are told it has been taken rather than double-booked.

If nothing appears

Shifts in chat is switched on per business. If your open shifts are not posting, check with whoever administers Paddl, and make sure the week was actually published: a draft week posts nothing.
