Paddl helps hospitality businesses manage food safety, compliance, and daily operations — all in one place. This guide walks you through setting up your account and getting your team onboard.
Step 1: Sign Up and Log In
After signing up, you can access the admin panel (manage.paddl-ai.co) from any browser on your laptop, tablet, or phone. This is where you manage your business settings, routines, documents, and team.
Your staff will use the Paddl mobile app to complete tasks, view documents, and check in. The app is available on both iOS and Android.
Step 2: Set Up Your Business
Once logged in to the admin panel, the first things to set up are:
Team members — Invite your staff so they can log in to the app
Equipment — Add your fridges, freezers, ovens, and other equipment
Routines — Set up your opening, closing, and cleaning checklists
Documents — Upload policies and training materials for staff to sign
Step 3: Invite Your Team
Go to Team > Team Members in the admin panel. Click Invite Staff and enter each team member's email address. They'll receive an invite with instructions to download the app and create their account.
Tip: Use individual email addresses for each staff member rather than a shared email (e.g. info@). This ensures accurate compliance tracking and lets each person manage their own tasks and training.

Once your team is set up, explore the main features:
Routines — Daily, weekly, and custom checklists for your team
Documents — Upload and manage policies with digital sign-off
Knowledge Hub — Build a searchable knowledge base for your staff
Risk Assessments — Generate and manage risk assessments
Allergen Matrix — Track allergens across your menu items

Equipment — Track equipment servicing and maintenance
Ask Paddy — AI assistant that answers staff questions using your knowledge base
