Upload the report
When an inspector leaves you a report, upload it under Documents in the EHO reports category, or drop it on the Paddy uploader and let it recognise what it is. An EHO report has no expiry date: it stays as the record of that visit, and it counts towards the confidence in management element.
Paddy drafts the action points
Open the document and you will find an Action plan panel. Paddy offers to create action points from the report: it reads the contraventions and recommendations and proposes one point for each, which you confirm before anything is saved. You can add points of your own in the same panel.
Each point has a title, the detail behind it and a due date. Give every point a date: a point without one never becomes overdue, so nobody is reminded of it.
Where open points show
On the EHO visit page, as an action plan card: open, overdue and done, with the three soonest points
Under Documents, where the report's standing follows its points: any overdue point shows red, any open point amber, all closed green
As a notification to the owner and the site's managers when a point is due within the week or has gone past its date
Closing a point
Mark a point done when the work is finished, or not applicable if the inspector was mistaken or the point no longer applies. Closed points stay on the report as the record of what you did and when, and they are not deleted.
The Audit Pack includes the action plan in its food safety management section, open points first and then closed, so a revisit or a rating appeal has the whole story in one place.
Expecting a revisit? Close every point you can before the date, and for the rest make sure the detail says what has been done so far.
