What a licensing officer asks for
A licensing officer or the police checking a licensed venue want to see that the licence conditions are being kept: the premises licence and its summary, who the designated premises supervisor (DPS) is, the refusals book, the incident log, and proof that staff are trained to check age. Paddl keeps these under Business & legal > Licences & permits.
Three views
Licences & permits has three views along the top. Licences lists what each site is expected to hold, with what you hold and when it renews, and the licence documents below. Licensing checks is the weekly check log. Analysis is Paddy's reading of your licences against what each site does, such as a licence condition that does not fit an activity; see Paddy's analysis.
The licensing check
The Licensing checks view holds completions of routines in the Licensing Checks category: the DPS's weekly look over the refusals book and the incident register, and a walk through the conditions that apply to you, such as CCTV working, notices on display and door staff registered. Set it up once as a weekly routine and each completion is a signed line of the record.
Every licensed venue is expected to keep one, so the Licensing checks view shows a dot until a routine exists. Open it and the missing row offers Set up the routine or, for owners, Doesn't apply to us with a reason.
Challenge 25 training
Upload each person's signed Challenge 25 or age verification training record on Licences & permits. It has a Review by date rather than an expiry: set it to when the refresher is due under your licence conditions, often a year, and Paddl reminds you. A venue that sells alcohol and has none sees it as worth considering on the Licences view.
Licence documents
Your premises licence, personal licences and any temporary event notices go on Licences & permits. Paddl reads what you upload, flags conditions it cannot see evidence for and warns you ahead of renewals. See Insurance, licences and lease.
Refusals and incidents
Refusals, capacity and sound readings are logged on the Location Monitoring page. The incident register is on Health & safety, on the Incidents chip: the entries a licensing officer will want are the ones that touch the licence, such as a refusal that turned into a disturbance, an ejection, or the police being called. Note the licence condition involved in the description so they are easy to pick out.
Readiness and the audit pack
A licensed venue has a Licensing page under Readiness, scored from the licensing check, Challenge 25 training, licence documents and your monitoring. The Audit Pack exports the licensing checks and your licences and permits as sections of their own.
