One page for fire
Open Fire & Safety in the sidebar and you land on one Records page. It replaced the separate Fire & Safety Records, First Response Records and Inspection Certificates pages in October 2026; their old links still arrive on the right chip or in Documents.
The chips
Chip | What it holds |

Fire log book | Weekly alarm tests, monthly emergency lighting and extinguisher checks, fire door checks and drills. Every venue is expected to keep one. |
Fire safety checks | Routines in the original Fire Safety category, such as fire checks set up before the log book existed. |
First response checks | First aid kit checks, defibrillator tests and the like. |
Pick a chip to see its completions, or All for everything. Each line shows when it was due, who did it, what they recorded and any photo or note. Missed and late checks stay in the history, and a manager can resolve one with a reason.
A dot on Fire log book means your venue has no routine in that category yet. Open the chip and the missing row at the top offers Set up the routine or, for owners, Doesn't apply to us. See The Fire Log Book for what goes in it and how to set it up from the PPM library.
Certificates
Certificates are evidence, so they live under Documents: alarm, emergency lighting and extinguisher servicing in the Fire Safety category, and the gas safety certificate in Gas Safety. The Records page has a Documents line showing how many you hold and the next expiry, and it opens Documents on that category. Every venue is expected to hold fire safety certificates, and a food venue a gas safety certificate, so a missing one shows a dot there.
When a contractor visit booked from the PPM library is completed with its certificate attached, the certificate is filed for you with its expiry. See PPM Certificates under Documents.
The fire risk assessment
The fire risk assessment lives on the one Risk Assessments page with the others: set a review frequency, require sign-off, and complete reviews when they fall due.
Exporting
Export the chip you are on from the Records page, or hand a fire officer the fire log book for a date range from the Audit Pack.
