The symptom

A maintenance job does not appear where somebody expects it: not in a staff members task list on the app, not on the board, or the person it was given to says they were never told.

Full diagnostic

  1. Is it actually assigned to them? The app shows a person the jobs on their own name and the jobs on a team they are in, and nothing else. An unassigned job is nobody job and appears on no phone. Filter the board by Unassigned to find work in that state.

  2. Are they in the team it was given to? A job assigned to a team reaches the active members of that team. Check the membership under Team, then Groups.

  3. Is the job still open? Completed, cancelled and rejected jobs drop off the app. A recently completed one stays visible for a day, then goes.

  4. Is it on hold? Held jobs stay in the list but are greyed with their reason. They are easy to scroll past when you are looking for something to start.

  5. Are you filtered? The board keeps its filters in the address bar, so a link somebody sent you can carry a site, an owner or an area type you did not choose. Press Clear filters.

  6. Can you see that site? If your access is limited to certain sites or regions, jobs at other sites are not shown to you at all. That is working as intended, not a fault.

  7. Is their app up to date? Maintenance jobs in the daily task list arrived in a specific app version. On an older build the job exists and is assigned, but the screen that shows it does not. Update from the app store.

A request that never became a job

A request sitting in Requests In has been reported and nothing more. It has no date, no owner and no deadline until somebody triages it and books a job. If work is being reported and then not happening, that column is the first place to look.

An area that will not appear when reporting

Staff can only pick areas that exist at the site they are checked in to, and only active ones. If a room is missing, add it or switch it back on under Maintenance, then Areas. See Areas & Rooms.

For how ownership works and what the assignee is told, see Assigning Maintenance Work.
