What Are Documents?
The Documents section lets you upload policies, procedures, training materials, and other important files that your staff need to read and acknowledge. Staff can digitally sign documents to confirm they've read and understood them.
Uploading Documents
Go to Documents in the admin panel
Click Upload Document
Select the file (PDF, Word, or image)
Add a title and select a category
Choose whether to require staff sign-off
Requiring Staff Sign-Off
When you enable Require Sign-Off on a document, all current staff members will be prompted to read and sign the document in their mobile app. The admin panel tracks who has and hasn't signed.
New starters: When new staff members are added, they will automatically be required to sign any documents that have sign-off enabled. You don't need to manually assign it to each new person.
Documents vs Knowledge Hub
You might be wondering when to use Documents vs the Knowledge Hub:
Documents — For formal policies that require a signature (e.g. personal hygiene policy, staff handbook, allergen training certificates). Documents support sign-off tracking.
Knowledge Hub — For reference information that staff might search for (e.g. how to use equipment, menu prep guides, FAQs). Knowledge pages are searchable by the AI assistant (Ask Paddy).
You can upload the same content to both if needed. Documents handles the formal sign-off, while Knowledge makes the information easily searchable and accessible via the AI assistant.
Viewing Sign-Off Status
In the admin panel, click on any document to see which staff members have signed and which are still pending. You can send reminders to staff who haven't signed yet.
