What Are Routines?
Routines are recurring checklists that appear in your staff's mobile app. They can be used for opening checks, closing procedures, cleaning schedules, temperature monitoring, and more.
Creating a Routine
Go to Routines in the admin panel
Click Create New Routine
Give it a name (e.g. "Morning Opening Checks")
Select a category (Opening, Closing, Cleaning, etc.)
Add your checklist items
Set up the schedule
Scheduling Routines
Scroll down to the Scheduling section when creating or editing a routine. You can:
Repeat daily — The routine appears every day
Repeat on specific days — Choose which days of the week (e.g. Monday, Wednesday, Friday)
Set a time window — Define when the task should be started and completed
Example: If cleaning is done twice a week, create the routine and select only the two days it should run. If different cleaning tasks happen on different days, create separate routines for each day's tasks.
Assigning Routines
When creating a routine, you can assign it to:
A location — Anyone who checks in at that location will see the task
A specific staff member — Only that person will see it
A staff group — e.g. "Front of House" or "Kitchen" — all group members will see it
If you assign a routine to a location, any staff member who checks in to that location for the day will see the tasks. This is ideal for single-location businesses where different people may work different shifts.
Completing Tasks in the App
Staff members see their assigned tasks after checking in via the mobile app. They can tick off each item as they complete it. Managers can view completion status in the admin panel.
What If a Task Was Missed?
If a task wasn't completed (e.g. yesterday's checks were missed), managers can view overdue tasks in the admin panel. The system tracks completion rates to help identify gaps in your routines.
