Delivery Notes

Turn a supplier's order confirmation or delivery note into a due delivery, with every product linked to your allergen chart.

What it does

Send Paddy the paperwork from any supplier and it does the typing. It works with national wholesalers, local butchers and veg suppliers, and drinks distributors, from an emailed PDF, a screenshot of an online order, or a photo of a printed or handwritten note.

  • An order confirmation becomes a delivery due on the date it gives, ready to check in when the van arrives.

  • A delivery note photographed at the door is matched to the delivery it belongs to. Lines on the order but not on the paper start as short, and anything on the paper you did not order is added.

  • Every product is linked to your allergen chart, and allergens new to your kitchen are highlighted.

Sending Paddy a note

  • On the web, click Add delivery on the Deliveries page and choose Upload a delivery note, or drop the file into Ask Paddy anywhere.

  • In the app, anyone at the site can tap the delivery tile and choose Photograph a delivery note. This needs a connection.

Paddy works out what the file is and shows you what it read: the supplier, the site, the date, the order reference and the lines. Check it, fix anything it misread, and confirm. Several photos of one note sent together make one delivery.

How products are matched

Each line is matched to that supplier's products on your allergen chart: by product code first, then by name, ignoring pack sizes. A name that is only close is offered for you to choose, never linked on its own. A product you have not bought before is added as a bought-in product. Lines like cleaning chemicals and packaging are kept off the allergen chart.

AI suggestions, not confirmed

For a new product, Paddy suggests its likely allergens. They are a guess until someone checks the pack: they show as AI suggestion, not confirmed, never as allergen-free, and they stay off the allergen matrix you print or share. Open the product with Check allergens, compare it with the label, tick that you checked the pack, and save.

Bought-in products have their own view on the allergen chart, beside your dishes.

Changing a due delivery

Open the delivery and use Edit delivery to move its date or add the order reference, or Cancel delivery when it is not coming. A cancelled delivery stays on record with the reason.

Ask Paddy

Ask "what deliveries are due today?" or "is the Brakes order coming?" and Paddy lists what is due at your sites and what is late.

Can Paddl connect to my supplier account? Not directly. Forward or screenshot the order confirmation and send it to Paddy, or photograph the note when the delivery arrives.
