A task on a routine passes through three states after it is generated: due, overdue, and either completed or missed. The difference between overdue and missed matters, because one can still be done and the other is a record.
Overdue
A task is overdue the moment its due time passes with it still open. It stays on the list and can still be completed; it is simply late, and the record keeps how late. Overdue reminders go to whoever has them turned on under Settings > Notifications.
Missed
A task becomes missed two hours after the site closes on the day it was scheduled for. A site with no closing time set uses the end of the day plus the same two hours. Once missed, it cannot be completed. It stays in the records as a missed task, and if the routine is marked as required it counts against the site's compliance figures. That is on purpose: an inspector wants to see what was missed, not a record that was quietly tidied up.
"Missed in the busiest hour"
With the till connected, a late or missed task also records where its due time fell against the site's usual day: the busiest hour, a busy hour, or a quiet one. A task due in the busiest hour of the day was scheduled into service. That is a different conversation from a task missed at eleven in the morning: the first is usually a scheduling problem, the second is usually a person.
If the same check keeps landing in the busiest hour, move it. The routine editor shows the quiet windows when you pick a time. See Scheduling checks around service.
Resolving a missed task
Open the task and press Resolve task. You are asked for a reason: completed offline, not applicable, rescheduled, or acknowledged, with a note. The first three mark the task completed and it stops counting against compliance; the reason and your name stay on the record. Acknowledged is the honest one when it simply did not happen: the task stays missed, still counts, and the record shows it was seen and by whom. Nothing is deleted either way. The same picker is described in Food Safety and Hygiene Records.
Where to see them
The View Records action on any routine category under Routines, filtered to Missed or Overdue for any date range, and the records views described in Food Safety and Hygiene Records.
The dashboard, which counts today's missed tasks.
The calendar day panel, which lists them for the day you click.
The EHO Visit Dashboard, which shows missed and overdue counts per routine.
If a lot are being missed
The time is wrong for the site. Check it against the quiet windows.
The wrong team is assigned, so nobody on shift can see it. See A routine is not showing up in the app.
The site was shut. A closure period stops tasks generating on closed days rather than generating and missing them.
Deleting a routine keeps its records. Completed, late and missed records survive so the audit history is intact.
