Reactive against planned
Most maintenance in Paddl starts with something going wrong. Planned maintenance is the other half: the checks that happen because a date came round, not because anybody complained. Weekly flushing of the taps nobody uses, the annual gas safety check, the monthly fire door walk.
These are the ones that hurt most when they are missed, because they are usually the ones somebody official asks about.
The catalogue, and what applies to you
Under Maintenance, then PPM, there is a catalogue of planned tasks for UK hospitality. It is filtered to your venue, so you are shown what applies rather than everything that exists: a site with no lift is not offered a lift examination, and a site with no cellar is not offered cellar hygiene.
Each task shows how many of your sites already have it covered. Turn on Only show gaps to see just the ones that do not.
Statutory, guidance and good practice
Every task is labelled with why it exists, and the labels are not decoration.
Label | Means |
|---|---|
Statutory | Required by law. The gas safety check and the lift examination are here. |
Guidance | Named in an official standard or approved code of practice. Departing from it is something you would have to justify. |
Good practice | Sensible and expected, but not written down anywhere binding. |
Where there is a specific standard behind a task, it is quoted on the card, so you can look it up rather than take our word for it.
Scheduling a task
Press Schedule on a task, choose the sites and a start date, and Paddl sets it up. What it creates depends on the task:
A routine, for the things your own staff do. Weekly tap flushing and the monthly fire door check become recurring tasks in the app, live immediately.
Appointments, for the things somebody visits to do. The gas safety check and the extract clean become dated appointments you can then attach a contractor to.
Scheduling across several sites at once will not narrow anything that is already covering every site, so adding a new venue later cannot quietly shrink an existing routine.
The planned calendar
The Planned tab puts three things in one month view: maintenance routines, maintenance appointments, and booked jobs. Filter by source or by trade, page between months, or switch to a list.
It is the answer to "what is coming up", which is a different question from "what is broken" and deserves its own screen.
Before you start
The catalogue works out what applies to you partly from the areas you have set up, so a site with no areas is offered very little. If you see a banner saying as much, set the areas up first: see Areas & Rooms.
